How do I ... bulk import records into Manchester eScholar?

Manchester eScholar allows users to make bulk imports of scholarly works from various external data sources. The three currently supported data sources are Endnote X, Reference Manager 11, and PubMed.

How do I import records from Endnote X?

Step 1: To import references from Endnote into Manchester eScholar you must first identify the Endnote Reference Library which contains the references that you wish to import. To do this open Endnote X and select the 'File' menu, select 'Open', then 'Open library'. When you have located the correct library select 'Open'.

NOTE: You may bulk import up to 50 records per import. Ensure that your export file does not contain more than 50 records or your import will fail.

Step 2: Next select the references from the Library that you wish to export. If you do not select any references then all references from the Library will be exported. Ensure that all references are your own publications.

Step 3: From the 'File' menu choose 'Export'. Then from the 'Save as type' options select 'XML' (.xml) and enter a name for the exported file. Select the location you wish to save the file to and select 'Save'.

Step 4: Log-in to Manchester eScholar and from the My eScholar home-page click on the 'Add scholarly work' tab. Then click on the 'Bulk import scholarly works' sub-tab.

Step 5: From the drop-down menu select 'Endnote' as the source of the imported file. You will see a list of the Endnote content types that Manchester eScholar supports. These are: Book section, Book, Book (Edited), Conference paper, Conference proceeding, Electronic article, Journal article, Magazine article, Newspaper article, Patent, Report, Thesis/Dissertation.

Step 6: Click 'Browse' to locate your Endnote file. Once you have located the correct file click 'Upload file'.

Step 7: You will then see a grid containing the 'Content type', 'Title' & 'Year' of the records that you are importing. Once you are happy that these are the correct records for import you should set the access level to either 'Open' or 'Closed' and ensure that the import box against each record is checked. The click 'Import records'.

Step 8: You should then see a message saying that the import has been successful with a list of the successfully imported records displayed in a grid.

How do I import records from Reference Manager 11?

Step 1: To import references from RefManager into Manchester eScholar you must first identify the RefManager database which contains the references that you wish to import. To do this open Reference Manager 11 and select the 'File' menu, then select 'Open database'. When you have located the the correct database select 'Open'.

NOTE: You may bulk import up to 50 records per import. Ensure that your export file does not contain more than 50 records or your import will fail.

Step 2: Next select the 'File' menu, then 'Export'. In the File name drop-down, type the full path of the file name into which you want references exported. In the 'Output format' box select 'XML' (.xml). In the 'References options' box select the references you want to export. Then click 'Export'.

Step 3: Log-in to Manchester eScholar and from the My eScholar home-page click on the 'Add scholarly work' tab. Then click on the 'Bulk import scholarly works' sub-tab.

Step 4: From the drop-down menu select 'Reference Manager' as the source of the imported file. You will see a list of the Reference Manager content types that Manchester eScholar supports. These are: Book chapter, Book Whole, Conference proceeding, Journal article, Magazine article, Music score, Newspaper article, Patent, Report, Sound recording, Thesis/Dissertation.

Step 5: Click 'Browse' to locate your Reference Manager file. Once you have located the correct file click 'Upload file'.

Step 6: You will then see a grid containing the 'Content type', 'Title' & 'Year' of the records that you are importing. Once you are happy that these are the correct records for import you should set the access level to either 'Open' or 'Closed' and ensure that the import box against each record is checked. Then click 'Import records'.

Step 7: You should then see a message saying that the import has been successful with a list of the successfully imported records displayed in a grid.

How do I import records from PubMed?

There are two methods of importing records through the PubMed search service. You can either manually export a file containing PubMed records, or search and import PubMed records directly through the Manchester eScholar interface.

Import PubMed records from file

Step 1: To import a file from PubMed into Manchester eScholar you must first search PubMed for the records that you wish to import. See help searching PubMed.

Step 2: Once you have completed your search tick the box next to those records that you wish to import. If you do not tick any of the boxes then all records displayed will be exported. Next, from the 'Send to:' menu select 'File' and in the 'Format' drop-down select 'XML'. Then click 'Create file'.

Step 3: Save the exported file locally.

NOTE: You may bulk import up to 50 records per import. Ensure that your export file does not contain more than 50 records or your import will fail.

Step 3: Locate the exported PubMed file and change the file type from '.txt' to '.xml'. When you see the pop-up message click 'Yes'.

Step 4: Log-in to Manchester eScholar and from the My eScholar home-page click on the 'Add scholarly work' tab. Then click on the 'Bulk import scholarly works' sub-tab.

Step 5: From the drop-down menu select 'PubMed' as the source of the imported file. You will see a list of the PubMed content types that Manchester eScholar supports. These are: Journal article & Journal article (review).

Step 6: Click 'Browse' to locate your PubMed file. Once you have located the correct file click 'Upload file'.

Step 7: You will then see a grid containing the 'Content type', 'Title' & 'Year' of the records that you are importing. Once you are happy that these are the correct records for import you should set the access level to either 'Open' or 'Closed' and ensure that the import box against each record is checked. Then click 'Import records'.

Step 8: You should then see a message saying that the import has been successful with a list of the successfully imported records displayed in a grid.

Import PubMed records directly through Manchester eScholar interface

Step 1: Log-in to Manchester eScholar and from the My eScholar home-page click on the 'Add scholarly work' tab. Then click on the 'Bulk import scholarly works' sub-tab.

Step 2: From the drop-down menu select 'PubMed' as the source of the imported file. You will see a list of the PubMed content types that Manchester eScholar supports. These are: Journal article & Journal article (review).

Step 3: Type your search term into the search field using PubMed search conventions (i.e. Boolean operators). For further information see help searching PubMed. Once you have entered your search term click 'Query PubMed'.

Step 4: A grid will appear displaying your search results. When you have successfully identified the record/s that you wish to import check the import box against the record and select the appropriate access level.

Step 5: Once you have selected the record/s to be imported to Manchester eScholar click the 'Import records' button at the bottom of the grid.
